Privacy Policy

This Privacy Policy describes how Eastside Emergency Medical Services LLC, doing business as Xzyon EMS (“Xzyon EMS,” “we,” “us,” or “our”) handles information in two places: information collected through this website, xzyonems.com (the “Site”), and information related to the Xzyon EMS Crew Alerts text-message program, which is described separately in the SMS/Text Message Privacy — Xzyon EMS Crew Alerts section below. It does not apply to any other channel through which you may interact with Xzyon EMS, such as by phone or in person.

Information you provide to us through the Site

We collect information you choose to submit directly through the Site’s forms. We do not collect this information through the Site any other way.

Contact form

If you submit our Contact form, we collect your name, email address, an optional phone number, and the message you write. We use this information to respond to your enquiry and for no other purpose. Submitting a phone number through the Contact form does not enroll you in any text-message program.

Careers applications

If you apply for an open position through the Site, we collect your name, email address, phone number, the position you’re applying for, your answers to two eligibility questions (whether you hold the valid Georgia EMS license or certification for the position and a valid driver’s license), and the résumé file you upload. We use this information to evaluate your application, to contact you about it, and for related recruiting and employment purposes. Submitting a phone number through a Careers application does not enroll you in any text-message program. Your résumé is stored in a private file storage system that is not publicly accessible; only authorized Xzyon EMS staff can retrieve it, and each retrieval uses a temporary, individually generated access link rather than a permanent public one.

Information collected automatically

When you submit the Contact form or a Careers application, we also record limited technical information associated with that submission — including an obscured (hashed) version of your IP address and your browser’s user-agent string — which we use to help detect spam and abusive submissions and to enforce reasonable rate limits on how often the same source can submit a form. We do not store your IP address in readable form.

Beyond what is described above, this Site does not currently use cookies, analytics, or advertising tracking technologies. If that changes in the future, we will update this policy to describe what is added and why.

How we use information

We use the information described above to:

• Respond to messages sent through the Contact form;
• Evaluate and process Careers applications, and communicate with applicants about them;
• Operate, maintain, and secure the Site; and
• Detect and prevent spam, abuse, and fraudulent submissions.

Information related to the Xzyon EMS Crew Alerts text-message program is used only as described in the SMS/Text Message Privacy section below.

We do not sell personal information, and we do not use the information described in this policy for advertising or share it with advertisers.

Service providers

We use a small number of third-party service providers to operate the Site, its forms, and the Xzyon EMS Crew Alerts program on our behalf, including a hosting provider (Vercel), a database and file-storage provider (Supabase), an email-delivery provider (Resend) used to send Contact and Careers-related emails, and the messaging providers and wireless carriers needed to deliver text messages. These providers process information only as needed to provide their services to us.

SMS/Text Message Privacy — Xzyon EMS Crew Alerts

Xzyon EMS Crew Alerts is a text-message (SMS) program operated by Eastside Emergency Medical Services LLC, doing business as Xzyon EMS. It is available only to Xzyon EMS crew members who voluntarily enroll through the Xzyon EMS Crew application. It is not offered to the general public. The messages sent through the program are operational, work-related notifications about dispatch assignments, reassignments, and cancellations. Each message states the call priority (RED, YELLOW, GREEN, or BLUE) and the unit name. The program is not used for marketing or promotional messages.

Information we collect for this program

• Your mobile phone number;
• A record of your consent to receive text messages;
• The date and time you gave consent or revoked it;
• Where applicable, the version of the consent language you were shown and the source (such as the Crew application) through which consent was given;
• Opt-in, opt-out, STOP, START, and HELP events associated with your number; and
• Delivery and status information about the messages sent to you, as applicable.

Why we use it

We use this information to:

• Send you the operational messages you enrolled to receive;
• Honor your opt-out and opt-back-in requests and respond to HELP requests;
• Keep an accurate record of your consent and any revocation;
• Operate, secure, troubleshoot, and audit the text-message service.

Consent is voluntary

Enrolling in Xzyon EMS Crew Alerts is voluntary. Consent is not required to use the Xzyon EMS Crew application and is not a condition of employment. The consent checkbox is not selected by default; you are enrolled only if you choose to select it. You can withdraw your consent at any time by replying STOP or by changing your SMS preference in the Xzyon EMS Crew application.

How to opt out, opt back in, and get help

Reply STOP to any Xzyon EMS Crew Alerts message to opt out. After opting out, reply START to opt back in. Reply HELP for assistance. You can also manage your SMS enrollment through the SMS preference in the Xzyon EMS Crew application.

Your phone number on this Site does not enroll you

Providing a phone number through the Site’s Contact form or a Careers application does not enroll you in Xzyon EMS Crew Alerts, and we do not use those phone numbers to send Xzyon EMS Crew Alerts messages.

Sharing

Mobile phone numbers, SMS opt-in data, and consent records collected for Xzyon EMS Crew Alerts are not sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. This information may be provided to our service providers and wireless carriers only as necessary to operate and deliver the text-message service.

No patient information

Xzyon EMS Crew Alerts is not intended to transmit patient-identifying information or protected health information.

Retention of SMS records

Consistent with the Data retention section below, we keep SMS-related records for as long as reasonably necessary for the purposes described in this policy. Consent and opt-out records may be retained as necessary for compliance, auditing, dispute resolution, security, and operation of the service, including after you opt out.

Use of Xzyon EMS Crew Alerts is also subject to our SMS Terms — Xzyon EMS Crew Alerts.

Data retention

We retain the information described in this policy for as long as reasonably necessary for the purposes described above, or as needed to comply with our legal and recordkeeping obligations. We do not currently have an automated deletion schedule for this information; retention periods may be reviewed and adjusted by Xzyon EMS from time to time. Retention of SMS-related records is further described in the SMS/Text Message Privacy section above.

Security

We use reasonable technical and organizational measures intended to protect the information described in this policy, including role-based access controls for our administrative systems and private, access-controlled storage for uploaded résumés. No method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

Children’s privacy

This Site is intended for healthcare organizations, job applicants, and other adult visitors. We do not knowingly collect personal information from children through this Site.

Changes to this policy

We may update this Privacy Policy from time to time. If we make changes, we will revise the “Last updated” date at the top of this page.
